1. Who we are
GATE is made by Fliekhuis and Lenscowboy Media & Entertainment (Pty) Ltd. The responsible party for the personal information on this page is Lenscowboy Media & Entertainment (Pty) Ltd, (registration 2014/053922/07), Cape Town, South Africa, under the Protection of Personal Information Act (POPIA). Its Information Officer is its director, at lenscowboy@lenscowboy.com.
2. What stays on your computer
GATE does its work on your computer and the drives you connect. Nothing is harvested from it, and none of this is sent to us unless you send us a report (below):
- your footage, sound and stills, and their file and folder names;
- hashes, records, reports, hash lists and hand-off files;
- transcripts, which a speech model makes on your computer;
- slate logs and photos imported from TAKE.
3. What we collect
Early access
When you ask for early access: your email address, the role and kit you tell us, the words of the consent you ticked, and when.
Licences and trials
- the email address a licence or trial is for, its plan, its dates and, for a production licence, the production's name;
- for each computer using it: an install ID (a random number GATE makes when it is installed) and the computer's name, so you can tell your seats apart;
Asking for a trial
Trials are issued by hand, so we keep what you tell us when you ask: your name, email address, company or production, what you do and any note, and, when you ask from GATE, its install ID and the computer’s name.
Only if you switch them on
- Run reports: when an offload starts and ends, the production, the card’s name, how many files and how much, the drives, the verdict, the times and the computer’s name. Never a file name. They go to the people your licence names, by email or to a Slack channel.
- The producer link: the day’s sheet you publish, a row per card (its name, size, which drives verified it, the proxy and GATE’s verdict), for anyone holding the link you share.
Reports you send
When something goes wrong, GATE can send us a report: only when you press Send, after showing you every file in it. It holds GATE’s logs and records (which name your production, cards, files and drives, with their sizes and hashes), its settings, your note, the email address you give us to reply to, GATE’s version, the computer’s operating system and its install ID. It never holds footage, sound, stills, transcripts, notes from set, slate photos or your licence key.
A licence key is never stored as such; we keep only a scrambled form of it, so our records cannot be used to activate GATE.
Payments
Paystack takes the payment. We receive your name, email address, the amount and Paystack's reference. We never see or keep your card details.
This website
Cloudflare hosts this website and keeps security logs (such as IP addresses) to protect it. We use no advertising. Only the partners’ own pages need a sign-in, with an emailed one-time code and a cookie to stay signed in.
Analytics, only if you allow it
When you first visit, we ask whether we may count your visit with Google Analytics. Until you press Allow, nothing is sent to Google and no cookie is set. If you allow it, Google Analytics sets a cookie (_ga) and records the pages you read, where you came from, your browser, device and rough location (from your IP address, which Google Analytics does not keep), so we can see how the site is used. We send page addresses without anything after a ?, switch off Google signals and advertising features, and link no advertising account. Your choice is kept in your browser; change it any time under Cookies at the bottom of every page, which also removes the cookie. The GATE app never carries analytics.
4. What we use it for
- to issue, renew and move licences, and to stop them being shared;
- to decide on trial requests, and to email you licence and trial keys and receipts;
- to send the run reports and producer links you switch on, and nothing else with them;
- to answer a report you send us, and to fix what it shows;
- to take payment and keep the records tax law requires;
- to send early access and launch news, only if you asked for it. Every email lets you unsubscribe;
- to see how this website is used, only if you allow analytics;
- to keep GATE and this website secure.
We do not sell personal information, and we do not use it to train AI.
We rely on your consent (early access and launch news, and analytics), on what a licence or trial you asked for needs (licences, trials, run reports and producer links), on our legitimate interest in keeping GATE secure, and on what the law requires (payment and tax records).
5. Who else handles it
- Cloudflare: hosts this website, the licence server and their database, and the sign-in;
- Paystack: payments;
- Postmark: sends our emails;
- Slack: only if your licence sends run reports to a Slack channel;
- Google: Google Analytics, only if you allow it on this website;
- Hugging Face: GATE downloads its speech model from there once. Hugging Face sees your computer's internet address when it does.
Some of these companies store information outside South Africa. We use them on terms that protect it as POPIA requires.
6. How long we keep it
- Early access: until you unsubscribe, with the link in every email or here. After that we keep only your address, marked unsubscribed, so it is not added again. Ask, and we delete it entirely.
- Licences and trials: while the licence is in use, and 90 days after it ends.
- Trial requests: two years, as the record of who asked; sooner if you ask us to delete it.
- Run reports: 90 days.
- The producer link: 30 days after the last day published (7 or 90 if you chose that); stopping the link removes its days at once.
- Reports you send: emailed to the people who make GATE and never stored on our servers. We keep the email until the problem it shows is solved, then delete it.
- Payment records: for as long as South African tax law requires, at least five years.
- Analytics: two months in Google Analytics, then deleted by Google; the cookie itself lasts up to two years unless you remove it under Cookies.
- Security logs: as long as Cloudflare keeps them.
7. Security
Everything is sent encrypted. Licence keys are stored only in scrambled form, and access to our records is limited to the people who run GATE. No system is perfectly secure; if a breach affects you, we will tell you and the Information Regulator as the law requires.
8. Your rights
Under POPIA you may:
- ask what personal information we hold about you, and have a copy;
- have it corrected, or deleted where we no longer need it;
- object to how we use it, and unsubscribe from any email at any time;
- complain to the Information Regulator (inforegulator.org.za).
Write to lenscowboy@lenscowboy.com. We answer within 30 days.
9. Children
GATE is for working professionals. We do not knowingly collect information from anyone under 18.
10. Outside South Africa
We are in South Africa and work under POPIA. If you use GATE or this website from elsewhere, what we hold about you is processed in South Africa and by the companies in section 5, with the same protections wherever it is.
11. Changes
If we change this policy, the date at the top changes with it. Anything that changes what we collect is also emailed to licence holders.
